Minutes from 5/7/08

Members Present:  Kayte McCumber, Andy and Amanda Galindo, Vince Iraggi, Damon Barrick, Bill Ford, Deborah Phipps, Carla Pritchard, Ryan and Angela Shelton.

Relay for Life

Lana called about this, and we were just too late to set up a booth this year.  We will put this on our list of things to participate in next year.

Christian Rapper

Marcus Gwinn, aka Emceeone, has agreed to come to Ponca and perform on June 20th.  Bill has the paperwork from the city to get approval to hold a concert in one of the parks and will fill that out and turn it in.  Marcus will most likely have this format for the evening:  entertaining-45 minutes and then devotion-30 minutes.  If this concert is approved by the city, Ryan will call Brent McCoy and work in conjunction with KLVV on this.  We will ask some of the teens to make posters to advertise the concert as well.  We will need a flat-bed trailer, so we will be asking for help with that.

T-shirts

Bill contacted the Opportunity Center about making our church t-shirts.  The cost will be $12.00 for sizes youth small through adult extra large.  The cost will be one additional dollar for each size larger than XL.  Bill will set up a table after church on Sunday to take orders.  Members may choose from four colors.

Newspaper Related Topics

Angela reported that we can put an advertisement in the Friday edition of Ponca City News for the cost of $7.67 per inch.  This is the discounted rate for non-profit organizations. Ryan will be interviewing Scott and Tracy soon.  This story will appear in the newspaper free of cost.

Newcomers’ Club

Carla offered the idea of putting something in the newcomer baskets that go out to new citizens here in Ponca.  Please be brainstorming ideas for this.

Rest Home Visits

Bill contacted the area rest homes.  They would love to have us anytime, but do request a two to three day notice.  We will plan to go to Shawn Manor and one other rest home on June 11th.  We will meet at the church and divide into two groups.  We will then go to the rest homes and sign songs and just visit with the residents.  It was also suggested we might all go out for ice cream at Braums afterwards. 

Willow Creek

It was suggested that sometime this summer we might go to the Willow Creek area and do something special.  We will talk more on that later.

Mission Statement

Be thinking and praying about this.  We will work together on creating our mission statement at our next meeting, which will be May 21st.

Minutes from 4/27/08

Members: Ryan and Angela Shelton, Jim and Carol Iraggi, Bill and Sheila Ford, Jerry and Marilyn Jantz, Damon Barrick, Dale and Lana Coffin, Andy and Amanda Galindo, Deborah Phipps, Jay Locklear, and Jackie Zimmerschied. Others are more than welcome to join.?

We began by discussing a few logistical matters. Damon offered to watch the kids during the meeting. (A BIG THANKS to you, Damon!)

Next we clarified that during June, July, and August each second Wednesday night we would go out into the community, the first and third Wednesday evenings we would meet with our committees at the church building, and the fourth Wednesday night would focus on praise and worship.

Our discussion then turned to the upcoming “Relay for Life.” Lana will see about setting up a booth from which to hand out water. Bill will create an example pamphlet to place on the table with the water. Kayte will design a sheet for volunteers to sign up to help at the event. This event will take place at Hutchins Memorial Auditorium on May 16th starting at 7:00 p.m. and ending on May 17th at 7:00 a.m. Approval is pending.

Following the discussion about the relay, Bill showed our committee the logo he had created for church t-shirts.

The next item of business discussed was the possibility of having Marcus Gwinn, a Christian rapper, entertain youth at either the 5th Street Park or at the skate park. We are looking into having the concert on June 11th in the evening if possible. Andy will check with the city to make arrangements if that date works for Marcus. If we are successful in booking Marcus and the location, we will contact KLVV about advertising. We will also work in conjunction with Adam on this event.

We next discussed having our community presence service in July at the R.V. park located near Sun-n-Fun.

Another topic that we discussed was preparing meals for those who are on the prayer request list.

Briefly, we discussed having a service at the flea market parking lot area on a Sunday morning. We also discussed setting up a booth with free coffee and doughnuts along with a sign or pamphlets about our church. Volunteers would be wearing the church t-shirts.

Another topic was advertisement. Angie will call Ponca City News to get prices for an advertisement to be placed in the Friday religion section. The advertisement will include the basics: logo, times and location of service, and our phone number and web page address. Bill will call the county commissioner to ask about putting up a sign near the highway. Ryan will interview Scott and Traci and write an article introducing them to our community. This will be put in the Ponca City News as soon as possible.

Andy and Bill talked about coordinating the t-shirt making process. Andy will check on local prices.

For a short time we discussed the idea of visiting the area rest homes on a second Wednesday sometime this summer. Bill will check with the needs of our local rest homes.

May 7th will be our next community presence committee meeting.
